Every piece of equipment your department owns has a record: what it is, where it is, what it cost, when it was last serviced, and when it's due again. Scan its QR code or barcode with a phone or tablet and the record opens. Complete the check, log the service, or open a work order right there.

Four kinds of inventory, because they aren't the same thing

A hose, an air bottle, a thermal imager, and an engine all need tracking, and none of them need the same fields. RedAlert handles each on its own terms.

General inventory covers fixed assets: tools, equipment, fans, saws, and administrative gear. SCBA maintenance and testing covers air bottles, regulators, PASS devices, and harnesses. Hose testing covers every hose in the department. And apparatus management treats each rig as its own record, with everything assigned to it underneath.

Location tracking goes down to the shelf. Not “on Engine 3,” but which compartment and which shelf inside it, with unlimited locations and sub-locations. When someone needs the Hurst tool at two in the morning, the record says exactly where it lives.

Checks happen where the equipment is

Truck checks, SCBA inspections, gear checks, and hose testing get done in the bay, from a phone or a tablet. Plenty of departments keep a tablet in the truck bay for exactly this. Scan the QR code or barcode on the item and its record opens, ready for the check. Everything syncs to RedAlert Desktop the moment it's submitted.

All of it works from Desktop too. Whichever way your department prefers, it's the same record.

Failures that go somewhere

A failed check isn't useful if it dies in a checklist.

Failures can trigger notifications or automatically open work orders, which is RedAlert's break-fix workflow. A headlight is out on Engine 2, so someone creates the work order. From there you track the part being ordered, what it cost, who installed it, and what an outside vendor charged if you hired one. Parts and labor costs land on the record. When budget season comes and somebody asks what that rig cost to keep running last year, the answer is a report.

Out-of-service apparatus displays on the RedAlert Station Board so the whole firehouse knows before someone tries to roll it. Color-coded service and inspection status makes overdue items obvious at a glance rather than requiring somebody to go looking.

Expirations and the paper trail

Service schedules and inspection intervals are set per item, with advance warning so testing and recertification get scheduled rather than discovered. Transfers are tracked by date, reason, and who moved it. Equipment assigned to a member, a truck, a station, or a vendor stays traceable. Items out for service track by vendor.

ISO reviews apparatus documentation and testing history, and grant applications ask for equipment records. Both come out as reports rather than as a search through a filing cabinet.

Common questions

Where do truck checks get done?

In the bay, from a phone or tablet in RedAlert Mobile. Many departments keep a tablet in the truck bay for it. They can also be completed in RedAlert Desktop. Either way it's the same record, and it syncs the moment it's submitted.

How does the QR code and barcode scanning work?

Scan the QR code or barcode on a piece of equipment with a phone or tablet, and that item's record opens immediately. From there you can run a check, log service, or open a work order. There's no separate handheld scanner to buy or keep charged.

What happens when a check fails?

It opens a work order. From there you track the part, the cost, the installation, and any outside vendor work through to completion. The apparatus can be flagged out of service, which displays on the RedAlert Station Board so nobody tries to take it out.

What are work orders used for?

Break-fix work of any kind. A headlight is out, a valve is leaking, a piece of equipment needs a part. Create the work order and it tracks the purchase, the cost, who did the installation, and what a third-party vendor charged if you used one. It's how departments answer what a given rig actually costs to maintain.

Can we track SCBA and hose testing?

Yes, both have their own record types with their own fields. SCBA covers air bottles, PASS devices, and harnesses. Hose testing covers every hose in the department. Testing intervals and history live on the record with advance warning before the next one is due.

How specific does location tracking get?

Down to the shelf. You can record that an item lives in a particular compartment on a particular apparatus, with unlimited locations and sub-locations, so nobody is searching three trucks for a tool.

Does this help with our ISO rating?

Yes. ISO reviews apparatus documentation and testing history, and RedAlert holds it in a form you can produce on request rather than reconstruct. Hydrant and water supply records live in the platform too.

Can we see what an apparatus costs us to maintain?

Yes. Parts, labor, fuel logs, and vendor costs post to the work order and roll up to the apparatus record, so you can report on maintenance cost by rig for budget planning and replacement decisions.
